These Terms and Conditions (the "Terms") constitute a legally binding agreement between the traveler (the "Participant") and VoyageTimes Limited (the "Company"). By completing a booking, the Participant expressly acknowledges that they have read, understood, and unconditionally accepted these Terms in their entirety.

1. BOOKING PROCESS & PAYMENT TERMS

1.1 Booking Confirmation

A booking shall only be deemed valid, confirmed, and legally binding upon the satisfaction of all the following conditions:

  • Receipt and successful processing of the required deposit by the Company.

  • Issuance of an official written Booking Confirmation by the Company.

  • Unconditional acceptance of these Terms by the Participant. For the avoidance of doubt, completing a booking or participating in the tour constitutes conclusive evidence of the Participant's full acceptance of these Terms.

 

1.2 Deposit

A non-refundable deposit per person is required at the time of booking to secure a reservation.

 

1.3 Final Payment

The total balance of the travel package price must be paid in full at least fifteen (15) days prior to the scheduled departure date.

 

1.4 Non-Payment and Default

Failure to remit full payment by the designated due date shall entitle the Company, at its sole discretion and without prejudice to any other remedies, to:

  • Cancel the booking immediately without prior notice.

  • Assess and enforce cancellation fees in accordance with the provisions set forth herein.

 

1.5 Booking Amendments by the Participant

Any request by the Participant for modifications to a confirmed booking (including, but not limited to, changes in dates, participant names, or total number of travelers) must be submitted to the Company in writing. All amendments are subject to availability, supplier policies, and may incur administrative fees as well as any additional costs imposed by third-party providers.

 

1.6 Price Adjustments

The Company reserves the right to adjust the total tour price at any time prior to final payment to account for fluctuations in fuel costs, taxes or fees imposed by third parties (such as tourist taxes or landing fees), foreign exchange rates, or any other external economic factors directly impacting the cost of the travel services.

2. CANCELLATIONS & REFUND POLICY

 

2.1 Cancellation by the Participant

The Participant may cancel their booking at any time by providing written notice to the Company. Refunds shall be processed strictly subject to the following timelines:

  • Thirty (30) Days or More Prior to Departure: The Participant shall be entitled to a refund of monies paid, less any sums already committed, spent, or retained by the Company for non-refundable pre-bookings, operational expenses, or third-party deposits. The final refundable amount shall be determined at the sole and absolute discretion of the Company, taking into account hotel/transportation cancellation policies, local vendor terms, activity deposits, visa fees, and travel insurance premiums (which are strictly non-refundable). The Company is under no legal obligation to provide receipts, invoices, or itemized breakdowns of these unrecoverable costs to the Participant.

  • Fewer than Thirty (30) Days Prior to Departure: No refunds shall be issued under any circumstances.

Resale Provision: In the event that a canceling Participant’s vacancy is successfully filled by another paying traveler, the Company may, at its sole discretion, elect to increase the refund amount awarded to the canceling Participant, though it is under no legal obligation to do so.

 

2.2 Cancellation by the Company

The Company reserves the right to cancel any scheduled tour prior to departure due to:

  • Force Majeure: Including, but not limited to, natural disasters, acts of God, strikes, labor disputes, civil unrest, political instability, government restrictions, epidemics, pandemics, border closures, or acts of terrorism.

  • Supplier Default: The inability of local vendors (hotels, transport providers, activity operators) to safely or effectively execute the contracted services.

In the event of cancellation by the Company, the Participant shall receive a refund strictly limited to the amounts successfully recovered by the Company from its third-party suppliers. The Company shall not be liable to refund visa fees, travel insurance premiums, flights or transport booked independently by the Participant, or any other personal expenses incurred in anticipation of the trip.

 

2.3 Force Majeure & Limitation of Liability

The Company reserves the right to modify, curtail, or cancel any tour due to unforeseeable, unavoidable, or extraordinary circumstances. In such cases, the Company’s liability is strictly confined to the refund provisions outlined in Clause 2.2, and no additional compensation, damages, or indemnity for loss of enjoyment shall be payable.

2.4 Liability for Third-Party Supplier Defaults

The Company acts solely as an intermediary between the Participant and independent third-party service providers. The Company shall not be held liable for the refusal or failure of any third-party supplier to issue refunds in the event of cancellation, modification, or Force Majeure. The Participant explicitly accepts that the Company’s refund capacity is strictly contingent upon, and limited to, the funds actually recovered from its suppliers.

 

3. ITINERARY ALTERATIONS

Tour itineraries are subject to change without prior notice. The Company reserves the right to alter routes, accommodation, activities, or transportation methods due to adverse weather conditions, traffic delays, directives from local authorities, safety concerns, or any other unforeseen logistical constraints. Wherever practicable, the Company will endeavor to substitute services with equivalents of a comparable standard. No financial compensation or refunds shall be granted for adjustments made to safeguard the participants or ensure the smooth operation of the tour.

 

4. TRAVEL DOCUMENTS & VISAS

4.1 Participant Responsibility

It is the sole and exclusive responsibility of the Participant to ensure they possess:

  • A valid passport with an expiration date extending at least six (6) months beyond the scheduled return date.

  • All necessary entry visas, health certificates, and permits required by the destination country.

  • Accurate and legally compliant personal information matching their official travel documents.

 

4.2 Company Assistance Disclaimer

Any information or assistance provided by the Company regarding visas, entry requirements, or vaccinations is given in good faith and for informational purposes only. The Company assumes no liability whatsoever for visa rejections, entry denials, or any resulting financial losses or cancellation fees incurred by the Participant.

5. MANDATORY TRAVEL INSURANCE

Comprehensive travel insurance is mandatory for all Participants. Such insurance must provide adequate coverage for emergency medical expenses, personal accidents, medical repatriation, and loss or theft of baggage. Should the Participant elect to travel without adequate insurance coverage, they expressly acknowledge that all medical costs, rescue fees, and emergency expenses shall be borne exclusively by the Participant, and the Company shall be held completely harmless from any related financial claims.

6. HEALTH, FITNESS, AND ACTIVITY RISKS

Certain tour itineraries feature physically demanding activities, including but not limited to trekking, hiking, excursions, and extended transits. By booking, the Participant warrants that they are in good physical and mental health and possess the requisite fitness level to safely participate. Any pre-existing medical conditions, allergies, dietary restrictions, or mobility limitations must be disclosed to the Company in writing prior to booking.

The Company disclaims all liability for personal injury, illness, delays, or medical emergencies arising from participation in any tour activities.

6.1 Minor Participants

Participants under the age of eighteen (18) must be accompanied throughout the entire duration of the tour by a parent or legally recognized guardian, who must provide written consent upon request. The participation of minors in any activity involving inherent risk is undertaken entirely at the risk and sole responsibility of their parent or guardian.

7. ACCOMMODATION & DIETARY SERVICES

  • Advertised rates are calculated based on double/twin room occupancy. A single supplement fee shall apply to Participants requesting individual rooms.

  • While the Company may attempt to pair solo travelers wishing to share a room to avoid the single supplement, such arrangements are subject to availability and are expressly unconfirmed and unguaranteed.

  • Daily breakfast is included in the package price, unless explicitly stated otherwise in the specific tour itinerary description.

8. TRANSPORTATION & LOCAL SERVICES

The Company coordinates transportation and logistical support in accordance with the official tour itinerary, utilizing a variety of methods including private vehicles, coaches, ferries, trains, or domestic flights. The provision of a dedicated tour leader, guide, or driver (whether English-speaking, Greek-speaking, or bilingual) is dependent on the specific tour package and will be explicitly detailed in the respective tour description.

The Company shall not be held liable for schedule disruptions, service breakdowns, delays, or operational failures originating from independent third-party transport operators.

9. INCLUSIONS AND EXCLUSIONS

The precise scope of accommodations, meals, transport, excursions, and activities included in the purchase price is restricted solely to the items explicitly listed as "Included" within the official tour itinerary provided to the Participant. Any item or service not explicitly enumerated therein is excluded and shall be deemed an ancillary expense to be borne by the Participant. The official itinerary constitutes an integral and inseparable part of these Terms.

10. COMPREHENSIVE LIMITATION OF LIABILITY

To the maximum extent permitted by applicable law, the Company, its directors, employees, and agents shall not be held liable for:

  • Loss, theft, or damage to personal belongings, baggage, or documentation.

  • Personal injury, illness, psychological trauma, or death, unless directly caused by the gross negligence or willful misconduct of the Company.

  • Delays, missed connections, flight cancellations, strikes, industrial action, or mechanical breakdowns.

The Participant travels entirely at their own risk and assumes exclusive liability for any property damage or personal injury they cause to third parties.

11. PARTICIPANT CONDUCT & CODE OF BEHAVIOR

Participants are required to maintain a respectful, safe, and lawful standard of conduct at all times. The Company strictly prohibits aggressive, abusive, or hazardous behavior, the violation of local laws or tour leader instructions, and the excessive consumption of alcohol or use of illicit substances.

The Company reserves the absolute right to immediately expel any Participant from the tour whose conduct is deemed disruptive, dangerous, or detrimental to the well-being of the group. In the event of such expulsion, no refunds shall be issued, and all costs associated with return travel and accommodation shall be the sole responsibility of the expelled Participant.

12. DATA PROTECTION & GDPR COMPLIANCE

The Company collects, processes, and stores personal data strictly in accordance with the General Data Protection Regulation (GDPR) and applicable Cypriot data protection laws. Data collection is restricted to information necessary for securing bookings, executing travel services, and complying with statutory legal obligations. Participants reserve the right to access, rectify, or request the erasure of their personal data. Personal data shall not be disclosed to third parties, except to authorized suppliers and authorities as required for the fulfillment of the travel contract.

13. MISCELLANEOUS LEGAL PROVISIONS

13.1 Governing Law and Jurisdiction

These Terms, and any non-contractual obligations arising out of or in connection with them, shall be governed by, and construed in accordance with, the laws of the Republic of Cyprus.

13.2 Indemnification

The Participant agrees to fully indemnify, defend, and hold harmless the Company from and against any and all claims, liabilities, damages, losses, or expenses (including legal fees) asserted by third parties arising directly or indirectly out of the Participant's negligence, misconduct, or breach of these Terms.

 

13.3 Dispute Resolution

In the event of a dispute arising from this contract, the parties agree to first seek an amicable settlement through good-faith negotiations or formal mediation. Should mediation fail to resolve the dispute within thirty (30) days of commencement, the dispute shall be submitted to the exclusive jurisdiction of the competent courts of the Republic of Cyprus.

14. EXPRESS ACCEPTANCE OF TERMS

By finalizing a reservation, submitting a deposit, or joining the tour group, the Participant explicitly declares that they have read, comprehensively understood, and legally consented to be bound by all clauses, conditions, and provisions set forth in these Terms and Conditions.
